PREPARATION OF FINAL PAPERS – deadline for submission June 30th 2012
Following notification of acceptance of the abstract submitted to the Symposium, ALL Authors (including those scheduled for Poster presentation) are requested to provide the following:
- A Full Paper, typed and edited strictly in accordance with the Instructions to Authors directly on the Paper Template
- A short Curriculum Vitae of the author who is going to present the paper at the Symposium (maximum 10 lines)
- A signed copy of the Copyright Assignment Form
Files of papers (Word format, NOT PDF, as they undergo editing before publication in the Symposium proceedings) and CVs should be submitted using the online form available.
Please note that the Organising Secretariat will confirm receipt of all papers. Authors not receiving an e-mail notifying receipt of their paper should check with the Secretariat to ensure their paper has been effectively received. Proof of mailing will not be taken as proof of receipt.

ORAL PRESENTATIONS
All authors presenting their work in an oral session are required to prepare a PowerPoint presentation of their paper, to last approximately 15 minutes. PowerPoint presentations should be emailed to the Symposium Organising Secretariat on papers@venicesymposium.it no later than October 31st 2012.
During the presentation company advertising should be avoided. Presence of authors’ affiliations or company logos should be very discreet.
On site, speakers should contact the chairman 15 minutes before the beginning of the session in which their paper is to be presented. The chairman will be available in the conference hall where the session is to take place. Speakers should be present at the conference table from the beginning of the session and remain for the entire duration.
A duty member in the Speakers’ Room will be on hand for all requirements. A PC will be available for speakers use and priority will be given in line with session timetable. The computer in the speakers’ room may not be used to prepare the presentation, but only to make last-minute changes or a final check.
Speakers who have not forwarded a copy of their PowerPoint presentation to the Organizing Secretariat prior to the conference are kindly requested to contact the Speakers’ Room at the latest by the session before the one in which their presentation is scheduled (should this be scheduled in a morning session, the deadline for contacting the Speakers’ Room is the evening of the day before). Speakers should ensure their presentations are delivered to the pertinent conference staff in a timely manner. No additional time will be provided for late arrival presentations.
If your allotted time runs out, do not under any circumstances hurry to finish the entire presentation but go straight to the conclusions. To this regard, it may be of use to prepare a slide illustrating the conclusions in a synthesized version.
POSTER PRESENTATIONS
Posters should be mounted by authors during the morning of Monday 12th November and removed on the afternoon of Wednesday 14th November.
A maximum space of 90 cm x 185 cm is available for each poster on a wooden board. Posters should be prepared using heavy-duty resistant paper or cardboard. Please ensure that you are equipped with all necessary fixing materials (i.e. scissors, tape, drawing pins).
Posters should be written using large letters as they should be legible from a distance of at least one meter.
Under no circumstances may posters contain any kind of advertising or commercial propaganda.
On arrival in the Poster Hall, all authors should check the exact position assigned to their poster.
The Staff at the registration desk will be pleased to provide assistance in case of need.
